1 — Slaeb's Commitment to Responsible AI
AI in Slaeb is always an assistant, never a decision-maker. You stay in control at all times.
Slaeb integrates artificial intelligence into its applications with a clear conviction: technology must serve people, not the other way around. Our AI features are designed to automate repetitive tasks, suggest relevant actions, and enhance decision-making without ever replacing human judgment.
This policy applies to all Slaeb products, including the CRM module (Customer Relationship Management) and the HRMS module (Human Resource Management System), and across all markets in which we operate: the Caribbean, France, the United Kingdom, the United States, and Asia.
2 — AI Features Used in Slaeb Applications
Slaeb's AI helps your teams sell smarter, manage HR more efficiently, and produce documents faster. Every AI-generated piece of content is clearly labelled.
Slaeb integrates the following artificial intelligence features:
AI Sales Agent Automation (CRM) — Automated lead qualification, personalised sales message drafting, opportunity tracking, and follow-up action recommendations.
HRMS Smart Suggestions — Employee management assistance, performance analysis, and HR recommendations based on your organisation's data.
Document and Report Generation — Automated creation of structured content (reports, summaries, template contracts) from business data entered into the platform.
All AI-generated or AI-assisted content is visually identified in the Slaeb interface with the label "Generated by AI" or an equivalent indicator. Users may at any time modify, reject, or ignore any AI-generated suggestion.
3 — AI Service Providers
We use Microsoft Azure AI and OpenAI to power our AI features. Both providers are bound by GDPR-compliant data processing agreements with Slaeb.
To power its artificial intelligence features, Slaeb relies on the following third-party services:

Slaeb has entered into a Data Processing Agreement (DPA) with each provider, compliant with GDPR requirements, including Standard Contractual Clauses (SCCs) for transfers outside the EEA. Your data is not used by these providers to train their AI models without your explicit consent.
4 — Data Processed by AI Services
Only the data needed to run a specific AI feature is transmitted. We never share more than strictly necessary.
When using AI-powered features, certain data entered into the Slaeb platform may be transmitted to our AI providers in order to generate responses or automate tasks. This data may include: commercial contact and lead information (name, email, interaction history), employee-related data (role, performance, leave — only within the HRMS context), and business content entered into the platform (notes, descriptions, free-text fields).
Slaeb applies the principle of data minimisation: only the information strictly necessary for the requested feature is transmitted. Sensitive data (medical information, banking details, personal identification numbers) is never transmitted to AI services.
5 — Human Oversight and No Automated Decision-Making
No significant decision is made automatically by AI without human intervention. AI suggests — you decide.
In accordance with Article 22 of the GDPR and the requirements of the EU AI Act, Slaeb does not engage in fully automated decision-making with legal or similarly significant effects on users or third parties.
All Slaeb AI features operate in assistance mode: they propose, suggest, or generate content, but validation, modification, or rejection of these suggestions always remains with the human user. Slaeb retains full accountability for any AI-generated content or actions within its applications.
6 — Our Ethical AI Principles
Every AI intervention is clearly signalled in the interface. You always know when AI is involved.
AI features can be enabled or disabled. You can reject or modify any generated content at any time.
Strict minimisation of data shared with AI services. No sensitive data shared without consent.
Our AI systems are designed to avoid algorithmic bias in HR and commercial decisions.
Slaeb takes full responsibility for any content or action generated by AI within its applications.
We regularly monitor and evaluate our AI systems to detect and correct any unexpected behaviour.
7 — Regulatory Compliance
Slaeb complies with GDPR, the EU AI Act, and Google Play's transparency policies. We are also preparing ahead of the AI Act's August 2026 requirements.
GDPR (EU Regulation 2016/679) — Lawful data processing, data subject rights, DPAs with AI subprocessors, Standard Contractual Clauses for non-EEA transfers.
EU AI Act (Regulation 2024/1689) — Transparency towards users, identification of AI-generated content, human oversight, prohibition of non-compliant high-risk systems. Anticipating obligations applicable from August 2026.
Google Play Transparency Policy — In-app disclosure of AI features, AI-generated content labelling, Data Safety form declaration.
French Data Protection Law (Loi Informatique et Libertés) — Compliance with national provisions complementary to GDPR.
8 — Your Rights Regarding AI Features
You can disable AI features, request explanations about AI suggestions, or contact our DPO at any time.
You have the following rights regarding the use of AI in your data: disable AI features in your Slaeb account settings, reject or modify any AI-generated content or suggestion, request an explanation of how a specific AI suggestion was generated, exercise your GDPR rights (access, rectification, erasure) over data processed via AI, and contact our data protection officer for any AI-related question
9 — Policy Updates
This policy may be updated to reflect changes in our AI features, applicable regulations, or subprocessing arrangements. In the event of a material change, active users will be notified by email or in-app notification at least 30 days before the changes take effect.
